I have a scenario, where we want to restrict users based on Document Types based on Depts. in our company.
For example, for Admin Dept, I want to have a Main Doc, Type ADM and then Sub Documents as AD1, and AD2 and in the same way FIN as main Finance Doc. Type and FN1, FN2, FN3 as its sub doc. types.
Now AD1 and AD2, should not able to create documents under FIN, as its superior document.
What is the best possible way to achieve this scenario.

I am new to DMS Module. I will be having below requirement from Client.
My Company want to maintained all Company legal document like Insurance, Commercial/Trading licences etc. in SAP. These all documents will be having specific validity dates. My client want trigger specific alerts/workflow message before expiration of these documents to legal department so new document will be uploaded with new dates.
Let me know if these requirement can be achieved via DMS and how? Also, if there is any other method with which we can map this requirement.

Hi,
We have activated the business function Enterprise Asset Management Part 6(LOG_EAM_CI_6).
We can create new documents while in the maintenance order.
By choosing Order à Additional Data/Functions a Create & Assign New Document, you can upload a document that does not yet exist in your document management system. Once you have selected and uploaded an original file in the document upload application, the system creates a new document info record and adds the document to the list on the Documents tab/Document Assignments of the order.
We can assign existing documents to the order.
If you select documents using the input help, the system first assigns these documents to the maintenance order at header level. To assign certain documents at operation level, select the respective entry in the list, choose the Assign Document to Operation pushbutton, and from the context menu of this button, choose Assign Document to Operation. Select the operations to which you want the system to assign the documents and confirm. The system removes the assignment at header level and assigns the selected documents to the operations you chose.
I am unable to differentiation/bifurcation of object key for maintenance order (Operation Level).
Header level document:
Table: DRAD
Field: OBJKY (Order no. is object key for Header level document)
Header level document:
Table: DRAD
Field: OBJKY (OV100000504900000001 ????????????? object key for Header level document)

Hi,
We have a PDF document attached to a service order that we are viewing using the document Viewer.
In the PDF (based on a smartform) there are an email address. When clicking on the email address an MS Outlook mail to that address is opened.
In the same moment, the document in the Viewer disappears (is probably closed). Are there a way to keep that document open even if we are handing over the "active" window to MS Outlook?
Edit: The document is opened in Adobe Reader inside SAP GUI.

If I launch LSMW in foreground everything is ok but if i launch it in background I receive this message error:
Error run time RAISE_EXCEPTION

Hi experts ,
I am getting an error when trying to download the file ( uoloaded from SAP GUI , tcode CV01N)
in PLM WUI from Documents screen .
The message says
"Security List message ; downloading wrong server "
Please note , the storage category i am using is SAP std storage category , DMS_C1_ST , which points to a physical path
on the server something like n:\...\...
accordingly I have configured my whitelist with one entry for "Download" as directory n:\..\..
Pls note I have downloaded the whitelist & installed the certif as required.
But i am still getting the error .
Would really appreciate any help on pointers.

I have goggled it before posting it here.
I am not ILM expert and my question is to understand what steps I need to do for Archiving.
I have requirement from my business to create attachments(Mail,PDF) to Sales order and then Archive the documents in order to avoid performance issue we are going to use third part server to store attachment and Business want to send attachments directly from Outlook to SAP(Kind of click of butting solution).
Will this be possible and what are the necessary settings required to execute such change.

i have a requirement that document should be printed directly from DMS. i came to kno from someone that there is s program named MCDOKPRT which can solve my problem. But i tried that program, it is giving me some text and not displaying or printing the actual document which has been loaded using the Tcode CV01n.

We need to perform a link between a document and a custom object inside the Easy DMS. We already checked the SAP note 1171060 but it refers to standard objects.
We analyzed the Badi: EASYDMS_EXT_UI, methods:
also the Badi: EASYDMS_MAIN01; method:
but it seems that unfortunately, none of them, will allow us to perform the Z link.
We also need to be able to search "linked" documents using the "Find Documents" functionality (similar to CV04N from the DMS).
Any help/recommendation?

Can someone shed some light on this problem? I was looking on the KPRO tables for a DIR and there I encountered a problem. By DMS PHIO2FILE there is a problem that can't be removed/debugged. Can someone provide some documentation on this issue? I would really like to understand why it is being generated as such or what can I do to solve it. Thank you

we're working on a requirement on a brand new SAP SRM 7 installation.
We would like to store Shopping Cart's (BUS2121) attachments, which in our scenario are present at item's level, into an external repository by means of an Archivelink configuration.
This is basically our aim, even though the complete requirement is quite complex.
We didn't have any experience on configuring Archivelink on an SRM machine, therefore we followed the same "basis" tasks we worked on in a different ECC configuration in the past:
- Transaction OAA3: we defined a new HTTP protocol registry, say HTTP1, for the Archivelink interface 0046, and we generated it successfully;
- Transaction OAC0; we created a new repository, say ZF, with the following specifications:
Document Area: Archivelink
Archive type: content server HTTP
Registry: HTTP1 (the one created at step 1)
Version nr: 0046
The rest of the technical details refer to the connection endpoint; after the certificates exchange, everything seems to be ok (Connection tests are good).
- Transaction OAC2: we defined two kind of documents, ZBUS2121_1 and ZBUS2121_2, for each type of documents (*).
- Transaction OAC3: we bound basically the SC item's business object (BUS2121001) to our document types (ZBUS2121_1 and ZBUS2121_2), specifying that the repository to be used is ZF and the reference table is TOA01.
Now we're having problems with the OACT transaction.
As far as we understood, we should work on the Content repository BBPFILESYSTEM - which is described as BBP: Document area.
The problem is that we don't know how to handle this part of configuration because we didn't found a way to bind that entry to the ZF repository we created in the archivelink configuration steps described above.
We're probably missing something... any help is really appreciated!

Dear Experts,
I have created a Function module which calls the BAPI "BAPI_DOCUMENT_CREATE2" to create a DMS document into SAP. I give to this function, a link to a PDF file in my computer to add an attachment to the DMS document.
The document is created but I have a problem to check-in the PDF file in the document.
When I execute the function in the SE37 transaction, there is no problem. The document is created and the check-in of the attachment is OK.
But, when I call the function by RFC in a java class (with JCO connector), the document is created but the check-in of the attachment doesn’t work. The error 26 253 is returned with this message: "Error while checking in and storing: C://OAF/Data/80000121.pdf".
I have found some people in the same case and tried their solutions (put different values to PF_FTP_DEST and PF_HTTP_DEST parameters, use API functions, give the hostname,…), but none of them have worked.
Here is what I give to the function:

We have configured the sap content server 6.5 and trex7.1,
we have succesfully created content repository and test connection also passed.
we are creating a new document in cv01n tcode and uploading a document with that it is saving sucessfull, but after that i went to tcode slg1 there i find error as:
repository zcontentserver cannot be addressed from the frontend
mesaage number CMS066
Please suggest me with a helpfull information, if i am missing any configuration please let me know.

Hi, we are on Sap 740 and are using Sap DMS and Easy DMS. We currently use Easy DMS to hold and access documents numbering in the low hundreds. In support of this we have constructed a document / folder hierarchy which reflects the departmental structure.
We are in the process of extending the use of the DMS to hold material related documents i.e. fact Sheets. These are to reside in a single folder within the document hierarchy.
We have performed the migration of the respective documents [numbering 1700 plus] into a test system and users have commented how slow it is to initially access the folder containing these technical documents. Say 2 minutes or more. For this application we are using the DMS browser accessed via CV01N [PLM is active in our Sap system which enables this] and not Easy DMS.
Having done some research on this I have found references to document limits being mentioned in the range 600-800 to be held within a folder which it-self is part of a hierarchy. After which performance becomes an issue.
Can I ask whether any-one has experience / knowledge of such limits in respect of a maximum or optimum number of documents to be held in a single folder before performance degrades.
It is possible that multiple folders are the answer but we would prefer to retain these documents in single folder.
We are using CV01N and the browser to access the folder initially and once located, creating new documents manually and when done in this way, the document is automatically linked to the correct folder in the hierarchy.
Any comments would be greatly appreciated.

I am trying to configure TREX server with SAP DMS for searching the text within an original in a sandbox.
When i Upload Originals in DMS they are getting stored in a content Repository DMS_C1_ST. Storage type: SAP System Database.
I have done all the necessary configurations which Includes tcodes SRMO, SKPR07,SKPRO6, Assign Relevant MIME types etc.,
I have following Questions:
1) In SKPR07 when i click diagnosis All are green except two rows which appears in red .
a) Language must be defined as a mandatory attribute in SDOKCLPROP
b) NOCATID
2) Do TREX search has the capability to search the documents stored in SAP System Database apart from Content server. Right now there is no Content server in place.
Please let me know your comments or suggestions where i might have forgotten something to configure or suggest me the best way.

Dear All,
We are facing two issues in DMS.While creating the document in an error we are getting by seeing through transaction SLG1 it is showing that Repository XXX cannot be addressed from the front end. And while trying to retrieve the document in cv02n,3n and 4n getting an error "c:temp\" not created. I can see lots of posts regarding the two issues but not able to get the exact solution for both.Here with this message i am attaching the snap shots of DC20 for your reference.
