physical documents list for upload

Hello Experts,

 

Greetings for the Day!!!

 

We are about to implement DMS at one of our client location. Though the question may sound too basic, client wants to know how other companies utilize DMS from the physical (NON-SAP) documents point of view. for eg.,

1. for PO, we can attach RFQs,Terms & conditions(MoUs) etc..,

2. for equipments in PM, their mfg manuals & related docs.

3. for projects/WBS in PS, the drawings,consultancy docs etc..

 

kindly help me in differentiating different documents per business transaction for PO,MIGO,MIRO,sales order,delivery&invoice.

What is the difference between data(structured) and document(unstructured) archiving?

Hi All,

 

Can someone please write the difference between data(structured) and document(unstructured) archiving. Please explain customizing steps of document archiving and process of document archiving. I am very confuse in these two.

 

For data archiving I know the customizing and process.

External number ranges

Gurus,

 

I am new to DMS and need some assistance. In the 'Number assignment field for 'Define document types'external number ranges there are a few options such as:

2     Only external number assignment

4     Only external number assignment with exit

5     External number assignment without number range check only

 

On the face all seem to be different, but I am unable to figure out the difference, e.g., there sems to be no difference between 2 and 4 as both require user exit and behave exactly same when creating documents?

Error Calling application via OLE ALVIEWER.APP

Hi Experts,

 

Using Document Access (Tcode-OAD5), have created Document Type to Attach Document through GOS. I am able to attach document through GOS. But during retrieval part, when am trying to display the attached document from Attachment List facing error as " Error Calling application via OLE ALVIEWER.APP". This error is coming expect PDF file. Only PDF file am able to display.

I have gone through OAA3, OAA4, SOLE and OAG1 settings. I have compared this settings with other customer for which have done this Document Access and its working fine for other customers.

 

Could you please suggest what other things I have to check to avoid this error. For reference attached the error screenshot.

Error in opening a document with Mac

Hi all

we're facing with an issue linked to opening a document with a PC Mac.

With Windows op system it works correcty.

We ha already noted this:

and we have already made several tests on this changing the syntax of the path in order to follow what suggested by the assistant, but without a positive result.

As a result when we make double click on the document in order to open it (wit a Mac PC):

Does anybody met this situation?

Suggestions are appreciated.

Error while checking in and storing:Message no. 26253 - CV02N

Hi Friends

I have received the following error  Error while checking in and storing:Message no. 26253 while check in of file in Content Server.

I have done all seeting such as Creation of content repository, Storage category.

Content server is also installed properly as per installation guide.

 

Is note SAP Note 1327343 applicable for me.

Document Release only Related Positional Head for a Particular Document Type

This document only release related positional head using cv02n. or outlook email or internal email.

 

Is it possible to create any user specific release strategy?

Check in - different repositories

Hello

 

I have following scenario:

 

- 3 different DMS documents type: ABC, CDE and XYZ

- 2 different repositories: CS1 and CS2

 

 

In CV01N files (pdf, xls, jpg) for DMS types ABC and CDE should be archived automatically in CS1 without popup Check in Document: KPRO.

 

 

In the same transaction, files (pdf, xls, jpg) for DMS type XYZ should be automatically archived to CS2, without popup Check in Document: KPRO.

 

 

I need to do this without development. As possible?

Search Documents by Object links matching ALL or NOTHING

Hi Everyone,

I am using ''BAPI_DOCUMENT_GETLIST2" to search for documents present in the DMS documentum server.

Object search is carried out as OR-search and all documents are received which are linked to one of the entered objects or all objects.

What i am expecting to match all the conditions/Object links and perform a AND search.

 

I also came across a blog discuss this.

Is there any SAP note on this regard ?

FM to rename a original file checked in to content repository

Hi,

 

is there an existing function module to rename an original file that is checked in to a KPRO content repository? I know that there is the posibility to use a BAdI to rename files automatically. But I need it only for an seperate import program.

Document migration from Open text to SAP Document Management System

Currently i have  open text  in ECC system for Document storage, and we
are planning to migrate Store Document from open text to SAP Document
Management System .
so please suggest us ,how to migrate existing Document which is on open
text Server to SAP Document management System and how to reconfigure that
Document in SAP Document management System .

Hi,

 

My company is about to implement SAP DMS and I had a couple of questions.

 

1. Do we require a license for SAP easy DMS client tool?

2. Is there any configuration to be done on SAP side to connect to easy DMS? If yes, where can I get configuration material?

3. If anyone could share sample SAP DMS blueprint, I'd really appreciate it.

 

I've searched SAP's site for these information but I couldn't exactly find what i was looking for.

Document type and file extension

Hi Gurus,

 

Is there a way to limit what file extensions can be assigned to a document type?

For example, I create a Z01 document type and I only want .gif and .jpg is attached to this document type. As such, if the user attempts to attach.doc to this document, he will be disallowed.

 

I thought I could do this in DC30 but it's not possible here.

DIR Status getting Stuck at "AP"(Approved) Status

Hi Experts,

 

I have a situation where some of the DMS documents are getting stuck at "AP" status.

Next Approver is not getting the Workitem to update the status of the Document.

With the initial analysis we got to know that WF-Batch in workflow is getting skipped and again running properly.

during the skipped timezone the approval process workflow stops and documents are getting stuck.

 

 

Need to know the possible causes which are responsible for creating such issue.

SAP Workflow consultant might be more helpful in this issue.

Cant Display Content Server information in browser.

Hi all,

 

I have installed SAP Content Server 6.30 on Windows Server2008 r2 standard.

 

i have configured IIS. but when i am testing Content Server by using

 

http:\\ipaddress:1090\ContentServer\ContentServer.dll?serverInfo

 

its doesn't showing Content Server information. getting error .dll file is downloading after entering URl

Its not correct behavior to download file, unexpected error is showing

 

need to Show information of Content server.

 

So please can you tell me any reason or any solution to testing of content server.

Adding File Name in Originals Popup

Dear All,

 

I want the file name to be displayed in the Originals Popup that comes up if there is more than one file attached to a DIR.

Currently, I can see only FileType and Description.

PFA the screenshot.

 

I wish to see the File Name also in the popup.

 

Please guide.

Through SAP Scan the Docuemnt directly

    I have one requirement, we are using scanner & printer of Canon, I want scan the document through SAP and directly that document attach in the GOS or DMS, what are configuration settings should required,

 

Can Please explain step by step process from configuration point view.

Avoiding multiple archiving when repeat printing and document remains unchanged

Hi Experts,

 

we are using ArchiveLink to archive (mainly) outgoing documents. Documents like offers, purchase orders, RFQs, service orders, etc...

 

We have the scenario that some documents (of course) are printed more than once. Hence, every time this particular document is printed, it gets archived.

 

The requirement is now to avoid this multiple archiving, except the document gets changed. So it should only be archived again if there are some changes going on in the document.

How can this be achieved? I think there should probably a way to customize this, otherwise is there a way to enhance GOS (Generic Object Services) in such a way, that the document is not archived again in case no changes occured in the document.

 

any helpful answer will be rewarded!!
